Travel Request

A Travel Request must be submitted prior to departure, in order to obtain approval. The employee will estimate expenses and the workflow will send to the supervisor for approval.  Upon obtaining approval from the supervisor, the employee can continue to book travel plans and submit a travel advance to obtain funds, if necessary (not required).  

Note: Payments will not be made to the employee when they submit a Travel Request, it is for approval purposes only.

  1. Navigate to "My Employment" >"Expenses".



  2. Navigate to "Travel Request" in the Expenses Screen to submit a new Travel Request for your trip.
    1. On the main screen it will show any Travel Requests that are in Draft, In Progress and any Approved Travel Requests.
    2. To review Travel Requests in your overview, click on either Draft, In Progress or Approved.
    3. If you click the line you are looking for, you can see the full request that you have submitted.



  3. A Calendar will appear on the right hand side of the screen showing you the dates of travel for any requests previously submitted.
    1. Enter your Destination
    2. Enter your dates of Travel
    3. Enter the reason you are Travelling
    4. Enter your Work Order number
    5. Enter any expenses you know you will be incurring
      1. If you already have some receipts or itineraries for your travel, you can attach them using the paperclip icon at the top right hand side of the screen.





  4. When all information has been completed and you are satisfied with the request, click "Save as Draft" or “Send for Approval”.


Travel Advance

A Travel Advance may be completed once a Travel Request has been approved.  Travel Advances are optional; alternatively, expenses may be submitted upon returning from a trip.


  1. To submit a Travel Advance Navigate to "My Employment" > "Expenses".



  2. Choose the "Travel Advance" option from the menu.



    Here you will enter information relating to travel expenses for reimbursement. Ensure you complete all of the following fields:
    1. Destination: There are three options to choose from on the drop down menu: travel within BC, travel within Canada, and travel outside of Canada.
    2. Travel Purpose: Specify where you are going and why.
    3. Start and End Date: The dates and times entered in these fields will auto calculate the meal per diems for your trip in accordance with the travel policy.
    4. Employee: enter your employee name in the format - Last name, First name.
    5. Work Order: enter your work order number so your supervisor can approve the expenses for payment (Note: you do not need to fill in CostCentre or Fund)



  3. Add Expense: enter the total dollar amount you are requesting for the advance.
    1. If you have any receipts or itineraries to attach you can add them in the "Receipts" section of the Travel Advance on the right hand side.
    2. You have the ability to upload receipts and match receipts to the Travel Advance.



  4. Click on the "Travel Advance Request" line and click "Match to the Receipt".  The Receipt will now be attached to your Travel Advance.



  5. If necessary, you may add additional information to your travel advance by clicking “Add Information” at the bottom of the screen.



  6. Once you have completed your Travel Advance form, click "Send for Approval" at the bottom of the page to submit.


Travel Expense (Reimbursement) 

When you return from your travel, complete either a Single Destination or Multiple Destination trip Travel Expense. If you received a Travel Advance, you must submit a Travel Expense claim upon your return.

  1. Navigate to "My Employment" >"Expenses".



  2. Choose the "Travel Single Destination" or "Travel - Multiple Destinations" option from the menu, as appropriate (the steps will be the same).




  3. When you open a new Travel Expense, any advances submitted will show on the right hand side of the screen under "Advance Payment".
    1. Click show transactions to match a travel advance to your Travel Expense. 





    2. If you did not submit an advance, there will be nothing in your Advance Payments, and you can continue to the next step.

  4. If you do not match an advance to your Travel Expense, you will need to complete the following information:
    1. Destination
    2. Travel purpose
    3. Start and End Times and Dates
    4. Employee
    5. Work Order (NOTE: Do not enter the Cost Centre or Fund)



  5. Meals will calculate depending on the times and dates you enter for your travel.  If any of your meals were included in your travel, click "Edit Free Meals", select which meals were included, and click "OK".






  6. Click "Add Expense" to start adding expenses from your trip.  



    Note: You must subtract GST from your expense totals and submit on a separate expense line: 

  7. Once your expenses have been entered, click "Upload receipts" to upload scanned copies.
    1. Once the receipts are uploaded, select the appropriate expense line you want to match the receipt to, and click "Match to receipt"



    2. Once they are matched to your expenses, click the small "X" on the "Upload receipt" window.

9. When all your expenses have been entered, you can click "Send for Approval" at the bottom of the screen to submit your Travel Expense:
